How to report a repair
Tenants should report promptly to the Association, any defect or repair for which the Association is responsible. To report a repair you can:
- visit the office
- telephone at any time. Out of office hours you can leave a message on the answering machine 01631 566451
- to request an emergency repair or report an emergency situation, you can call 01631 566451
- write to the Association
When you report a repair, you should provide as much detailed information as you can about the defect, provide convenient times for access and also provide your home/work telephone number. If you are out of the house all day, you could arrange to leave a key with a relative or neighbour, and inform the Association of this arrangement.

The Repairs Process:
When you report a repair, you will either be given a response time for the particular repair, or a mutually convenient time could be arranged for a Technical Services Officer to visit and inspect the problem. If applicable the Association will then issue a Works Order to an approved contractor. This Order will detail the work to be carried out, the timescale for completion of the work and provide your access arrangements. You will receive a copy of this Order,
and when the repair is required inside your home, you will also receive a repairs monitoring form. This form allows the Association to monitor the performance of its repairs service, and you should complete and return this form, in the pre-paid and pre-addressed envelope provided when the repair has been completed.
If the repair has not been completed by the specified completion date on the Works Order, please advise the Association. The Association may wish to inspect the completed work. If this is the case, we will contact you and arrange a mutually convenient time for a Technical Services Officer to visit.
The Association is committed to maintaining your house in a safe and habitable condition at all times. We aim to provide a good service, and rely on you to tell us if you are not satisfied with the work of the Association and/or the approved contractors employed by the Association. Completing and returning the monitoring form assists the Association in monitoring this service.
